About the Menu

 

You’ll find the menu in yellow text along the top of your BackOffice screen.  We’ve designed our menu system to be intuitive and easy to navigate.  If get lost, clicking the capital dome icons will always bring you back to the initial welcome screen.  Here’s a brief summary of what you’ll find in each menu.

 

Add/Search

The Add/Search menu is where you go to search the database for Individuals, Organizations and Events, or to add new records.

 

Individuals &endash; Add, view and edit information about individual contacts.

Organizations &endash; Add, view and edit information about organizations. Link Organizations with affiliated Individuals from the database.

Financial Transaction &endash; Quickly add a new transaction to your financial records without opening an Individual or Organization record.

Events &endash; Add and view events for your staff’s shared Calendar.

 

Reports

The Reports menu is where you will find methods for displaying and analyzing sets of information from your database.

 

Custom Reports &endash; This page allows you to select whatever group of records you want to use in whatever export format you choose.  Create highly targeted labels, lists, call sheets, reports, faxes, emails and other exports.

Standard Reports - Select from a list of pre-formatted reports for the most frequently requested combinations of data.

Government Reports &endash; Automatically create government compliance reports according to FEC or state finance reporting standards, or for the IRS.  Your database will reflect the specific type of financial reporting your organization needs.

Custom Financial &endash; Sort your financial transactions with the same level of detail that the Custom Reports generator gives you with your contact data.  Run your reports by Individual or Organization, for any time frame, for any election, and according to the category you specify.

Calendar &endash; View the events your staff has scheduled in a visual monthly format.

 

 

Financial

The Financial menu is where you will find features to track and maintain financial data.

 

Register &endash; Summary list of your financial transactions with descriptions.

Reconcile &endash; Compare the balance on your organization’s bank statement with the amount your register indicates.

Deposit &endash; Add receipts to your register to reflect actual bank deposit dates and amounts.

Loans &endash; Itemize outstanding loans that your organization owes to others or that other organizations owe to you.

Unpaid Bills &endash; Keep track of expenses before they are actively deducted from your register.

Budgeting &endash; Plan out your estimated receipts and expenses according to financial categories you specify.

 

Management

The Management menu is where you customizeBackOffice to organize and track your data.

 

Affiliations &endash; Customize the types of relationships that Individuals can have with Organizations.  Affiliations appear on the View Organization and Individuals screen.

Categories &endash; Classify your receipts and expenditures according to your own custom descriptions for your internal budgeting.

Codes &endash; Use codes to track specialized information about Individuals and Organizations, i.e. age, special interests.  You can use codes to run detailed Custom Reports.

Communication &endash; Log all of your conversations and correspondence using the default communication types we provide, or add your own custom communications.

Contrib. Limits &endash; Set the limits for contributions for Individuals and Organizations in accordance with the finance law that applies to your district or area.

Custom Exports &endash; Allows you to design and save data exports with only the data you wish to include.

Elections &endash; Sets each election your organization will be involved in.

 

System

The System menu is where you will control and monitor system users, find help for any questions you may have and log out.

 

Home &endash; Takes you back to the initial Welcome screen.

Users &endash; Administer user passwords and access permissions.

Help &endash; Navigate the help file through its Table of Contents.

            Search Help &endash; Search the help file for a specific word or phrase.

            Log Out &endash; Exit the BackOffice system.
